Steps

Goal: Confirm the file type, fix association or permissions, and open the file.

  • Check the file extension and confirm an app that can open it is installed.
  • Right-click the file and use “Open with” to pick a different app. If it opens, set that app as default.
  • If you see “access denied” or “file in use,” close other apps and check read permission.
  • Open the application first, then use File > Open to open the file from within the app.
  • Good: The file opens in the correct app. Bad: Still will not open—check Fix a file that is corrupted or reinstall the app.

Fix association

Goal: Set the correct app to open this file type when you double-click.

  • Right-click the file > Open with > Choose another app (Windows) or Open With (macOS).
  • Select the correct app and check “Always use this app” (Windows) or use “Change All” (macOS) to apply to all files of this type.
  • Double-click the file again. You should see it open in the correct app.

Check permissions

Goal: Ensure you have read access and the file is not locked.

  • Close any program that might have the file open (editors, viewers, backup tools).
  • Right-click the file > Properties > Security (Windows) or Get Info > Sharing & Permissions (macOS).
  • Confirm your account has Read access. Add your account or take ownership if needed.
  • Try opening the file again. You should see it open or a different error.

Check corruption

Goal: Determine if the file is corrupted or in the wrong format.

  • Open the app that should handle this file type. Use File > Open and browse to the file.

  • If the file will not open from within the app either, the file may be damaged or in an unsupported format.
