Steps

Goal: Check permissions, app selection, input level, and driver—then isolate the cause.

  • Run through permissions, app selection, and input level first.
  • Good: You find the cause and fix it. Proceed to Verification.
  • Bad: Proceed to Check permissions.

Check permissions and app selection

Goal: Confirm the app can access the microphone and the correct mic is selected.

  • Open Settings (Windows) or System Preferences (Mac). Go to Privacy, Microphone. Confirm the app has permission.
  • In the voice or video app, open audio or microphone settings. Confirm the correct mic is selected—built-in vs external USB or headset.
  • Good: Permission on and correct mic selected. Proceed to Input level.
  • Bad: Permission was off or wrong mic—fix and test.

Adjust input level

Goal: Confirm the microphone volume is high enough and not muted.

  • Open Sound settings. Select the microphone. Confirm the input level is not muted and the volume is at least 50–80%.
  • Check for a mute switch on headsets or external mics. Check Fn keys on laptops.
  • Good: Level is up and mute is off. Proceed to Driver.
  • Bad: Level was low or muted—increase it and test.

Update driver (Windows)

Goal: Update or reinstall the microphone driver when the mic does not work in any app.

  • Open Voice Recorder (Windows) or QuickTime (Mac, New Audio Recording). If the mic works there, the problem is the original app.
  • If it does not work in any app: Device Manager, expand Audio inputs and outputs. Right-click the microphone, Update driver, Search automatically. Restart if prompted.
  • If the mic has a yellow warning: right-click, Uninstall device, restart. Windows will reinstall.
  • Good: The mic works. You are done.
  • Bad: The mic does not appear or still has a yellow warning—see When to get help.

When to get help

Contact the device manufacturer or IT if:

  • The microphone does not appear in Device Manager.
  • The microphone has a yellow warning after updating the driver.
  • The microphone fails in all apps (Voice Recorder, QuickTime, Zoom, etc.).

Provide device model, OS version, and which app you are using.

Verification

  • The microphone picks up your voice in the app you are using.
  • Others can hear you on a call or in a recording.
  • The correct microphone is selected when you have multiple mics.

Escalation ladder

Work from the device outward. Stop when the problem is fixed.

  1. Permissions and app selection Grant microphone permission to the app; confirm the correct mic is selected.
  2. Input level Increase the mic volume in Sound settings; confirm it is not muted.
  3. Close other apps Only one app may use the mic; close others.
  4. Test in another app Voice Recorder (Windows) or QuickTime (Mac)—isolate app vs driver.
  5. Update driver Device Manager, Update driver, Search automatically.
  6. Call support Mic not in Device Manager, yellow warning, or all steps failed.

What to capture if you need help

Before calling support or posting for help, have these ready. It speeds everything up.

  • Device model and OS version
  • Which app you are using
  • Whether the mic works in another app
  • Steps already tried

Does the app have microphone permission?

Check Settings, Privacy, Microphone (Windows) or System Preferences, Privacy (Mac).

Open Privacy settings. Confirm the app has microphone permission. Good: permission on—proceed to app selection. Bad: permission off—turn it on, restart the app, test.

You can change your answer later.

Grant permission and test

Turn on microphone permission for the app. Restart the app. Test the microphone.

Is the correct microphone selected in the app?

Built-in vs external USB or headset—wrong selection can give no sound.

Open the app audio settings. Confirm the correct microphone is selected. Good: correct mic—proceed to input level. Bad: wrong mic—select the right one, test.

You can change your answer later.

Select correct mic and test

In the app, choose the correct microphone (built-in or external). Test.

Is the input level high enough and not muted?

Sound settings—mic volume often set too low.

Open Sound settings. Select the microphone. Confirm the input level is not muted and the volume is at least 50–80%. Good: level is up—proceed to driver test. Bad: level was low or muted—increase it, test.

You can change your answer later.

Adjust input level and test

Increase the microphone volume in Sound settings. Unmute if muted. Test.

Does the microphone work in another app?

Voice Recorder (Windows) or QuickTime (Mac) to isolate app vs driver.

Open Voice Recorder or QuickTime (New Audio Recording). Record and play back. Works: problem is the original app—permissions or selection. Does not work: problem is driver or hardware—update driver (Windows) or call support.

You can change your answer later.

Fix the app

The mic works elsewhere. Recheck permissions and mic selection in the original app. Restart the app.

Update driver (Windows)

Device Manager, Audio inputs and outputs, right-click microphone, Update driver, Search automatically. Restart if prompted. If the mic has a yellow warning or does not appear, call support.

Frequently asked questions

Why would a microphone not work?
Common causes: app does not have microphone permission, wrong mic selected in the app, input level muted or too low, outdated or missing driver, or another app is using the mic. Check permissions and input level first.
Can I fix a microphone that will not work myself?
Yes. Grant microphone permission to the app, confirm the correct mic is selected, increase the input level, and update the driver. Most issues are permission or settings-related.
When should I call support for a microphone?
If the microphone does not appear in Device Manager, shows a yellow warning, or fails after updating the driver. Provide device model, OS version, and which app you are using.
